Protectum provides this Privacy Policy to inform users about the collection, use, and disclosure of personal data when they visit and use cloud.protectum.es, the Protectum resident amenity-booking module, and related services. This policy applies to data provided during the use of our cloud-based smart lock, access management, and booking platform.
By using our services, you agree to the terms of this Privacy Policy. If you disagree with any part of this policy, please refrain from using our services.
Changes to Privacy Policy
We may update this Privacy Policy periodically to reflect changes in our practices. If we make significant changes, we will notify you via email (to the address linked to your account), through the Service (with a notice at login), or by posting the updated version on our website. We recommend reviewing this page regularly for updates. Any changes will take effect upon posting or implementation, and your continued use of the Service after the updates indicates your acceptance of the revised Privacy Policy.
Collection of Personally Identifying Information
We collect information about you from various sources, including:
- If you create an account with us
- Your use of the Services
- Third-party websites and services, including any integrated service providers
Account and Setup Information
When you are invited to our platform you may be required to input some relevant information. The types of information you provide may vary, but typically, you will need to provide:
- Name
- Email address
- Phone number
- Physical address
Resident Amenity-Booking Information
A public booking link contains a physical card identifier. Protectum uses that identifier to resolve the card's organization, access pass, and household record. The public link does not create a separate user account and should be treated like an access credential.
When the booking module is used, we process:
- the card and pass identifiers needed to validate the public link;
- the household or residential-unit label associated with the pass;
- resource, date, start and end time, access window, booking status, cancellation details, booking channel, and booking reference;
- booking rules and limits, including eligibility, availability, and cancellation-window checks;
- controller synchronization and audit records needed to grant and remove time-limited access to the booked amenity; and
- the requester's IP address in short-lived rate-limit counters and, when enabled, in the Cloudflare Turnstile verification request.
Depending on the resource settings selected by the Customer, an occupied slot may be shown anonymously, may show only the viewer's own household, or may show household labels to other eligible residents. Protectum does not expose the underlying card number or pass details in the occupied-slot display.
Guest User Information
Guests may access a lock or location using a Guest Code without needing to register for an Account. An Account Member who grants access to a Guest may provide the following information about the Guest:
- Name
- Phone number
- Email address
If you are an Account Member or Owner, it is your responsibility to ensure that you have obtained the Guest’s consent to collect, use, store, and disclose their information according to this Privacy Policy before
- providing such information to the Services, or
- inviting the Guest to use the Services, including by granting them access through a Guest Code. By inviting a Guest or providing them with a Guest Code, you confirm that you have obtained the necessary consent to share the Guest's information, including their PII, with Protectum for use as outlined in this Privacy Policy.
Device and Application Information
When you use our Services, we may collect certain device-specific information, particularly when the service is used to unlock or sync with the Protectum cloud service. The device information may include:
- Unique device identifiers
- Network information
- Battery level
- Information about how the device interacts with our services
- Device status
- Access logs
- Frequency of use of internal and external services
- Frequency of Guest Code creation and use
Purchase Information
When you pre-order or purchase Protectum products from our Site, we collect the following information to process your transaction: your name, email address, billing and shipping addresses, and credit card details. We store your name, email address, billing and shipping address, and the last four digits of your credit card information. Full payment card details are encrypted and securely stored by our third-party payment processor to complete the transaction.
Tracking Technologies
Protectum does not use tracking cookies or pixels for data collection or Behavioral Targeting / Re-targeting on our cloud offering site. However, we may use basic tracking techniques such as URL parameters to help us analyze and improve the functionality and performance of our Services. These methods help us understand how users interact with the website and enhance their overall experience without compromising their privacy.
The booking form may use Cloudflare Turnstile to distinguish legitimate residents from automated abuse. The browser obtains a short-lived token from Cloudflare, and Protectum sends that token and the requester's IP address to Cloudflare for validation. How We Use Personally Identifying Information
Personally Identifying Information (PII) is used for the following purposes:
- To provide, administer, and improve our Services
- To better understand your needs and interests
- To fulfill requests you may make
- To personalize your experience
- To provide Service announcements
- To provide you with further information and offers from Protectum or third parties
- To administer rewards, surveys, sweepstakes, contests, or other promotional activities or events sponsored or managed by Protectum or our business partners
- To facilitate the work of our partners involved in providing the Services to you
- To comply with our legal obligations, resolve disputes with users, enforce our agreements, and protect, investigate, and deter fraudulent, harmful, unauthorized, or illegal activity
Information Related to the Use of the Services
We may, in the future, automatically record certain information about how users interact with our Services ("Log Data"). This may include, but is not limited to, information such as your Internet Protocol (IP) address, location, device and browser type, operating system, the pages or features of our Services you access, the time spent on those pages, frequency of usage, search terms, and features or links clicked on. This information will be used to administer, analyze, and enhance our Services, tailoring them to improve functionality and user experience.
Support
If you reach out to us for support, such as through email or feedback forms, we may use the information you provide to respond to your inquiry or offer assistance. Additionally, we reserve the right to share your request publicly if it helps clarify your query or allows us to better support other users.
Testimonials
We may feature personal testimonials from satisfied customers and other endorsements on our Site. With your consent, we will display your testimonial alongside your name. If you'd like to modify or remove your testimonial, please contact us at hi@protectum.es. If you provide us with feedback or comments, we may collect your name, email address, and other content shared to reply to your inquiry and improve our Service.
Mailing List and Contact Information
If you choose to provide your email address or other contact details through our Services, we may use this information to send you updates about Protectum-related products, services, or promotions. We may use third-party service providers to manage these communications, but we will not share your email address with spammers or any third parties, except as outlined in the "Disclosure to Third Parties" section. In some of our emails, we may use tracking methods, such as "click-through URLs," to measure the effectiveness of our communications.
Aggregate and Non-PII Information
Protectum may collect and analyze non-personally identifiable information (non-PII) to understand and improve the performance of its Services. From time to time, Protectum may disclose and utilize aggregate and non-identifiable information for purposes such as industry analysis, demographic profiling, marketing, advertising, and other business purposes. For example, we may report on trends in how users interact with our devices, Sites, or Services to inform improvements and innovation.
Disclosure to Third Parties
Your Third Party Services
If you access our Services through a third-party platform (e.g., integrating Protectum devices with your smart home system or granting access through a delivery or property management service), we may share PII related to you and your guests with such third parties. This is to enable the requested integration or service.
We encourage you to review the privacy policies and terms of service of these third-party platforms to understand how they handle your information. While we make efforts to protect your data, we are not responsible for the functionality or data handling practices of these third-party services.
Information Shared with Other Users
If you invite a guest to access your device, we may share limited details, such as your name, lock location, or profile picture, with the invited guest to ensure they can recognize the invite and access the correct device. Similarly, certain details about your guest may also be shared with you for clarity and record purposes.
In the booking module, the Customer controls whether occupied amenity slots are anonymous or display a household label. Eligible residents may therefore see a household label associated with an occupied slot when the Customer has enabled that visibility mode.
Compliance with Laws and Law Enforcement
Protectum cooperates with government and law enforcement agencies, as well as private entities, to ensure legal compliance and the protection of rights and safety. We may disclose your PII as required by law or when we believe it is necessary to:
- Respond to legal claims, subpoenas, or court orders.
- Enforce our Terms of Service and this Privacy Policy.
- Prevent or address illegal, unethical, or harmful activities.
- Protect the safety, property, or rights of Protectum, our users, or the public.
Business Transfers, Affiliates, and Joint Ventures
In the event of a business restructuring, such as a merger, acquisition, or sale of assets, your PII may be transferred to the new entity. We may also share your PII with affiliated companies, subsidiaries, or joint ventures, requiring them to adhere to this Privacy Policy.
Minors
Protectum’s Services are not directed at children under the age of 18, and we do not knowingly collect PII from children under this age. If we become aware of any such data collection, we will take immediate steps to delete the information.
Changing or Deleting Your Information
You can review, update, correct, or delete your PII by logging into your account and editing your profile settings. Please note that deleting certain information may limit the functionality of the Services, and complete deletion may result in account deactivation. Our Services may contain links to external websites or services. Protectum is not responsible for the privacy practices of these third-party sites or services. We encourage you to review their privacy policies before sharing any information.
Data Retention
Protectum retains PII for as long as necessary to provide the Services, comply with legal obligations, resolve disputes, and enforce agreements. Archived records may also be retained for legitimate business purposes.
Booking and access-synchronization records may be retained after a booking ends or is cancelled so that the Customer can operate the amenity calendar, investigate access failures, maintain an audit trail, resolve disputes, and meet legal obligations. The Customer determines the applicable operational retention period, subject to its agreement with Protectum and applicable law.
Security
We prioritize the security of your personal information and follow industry-standard protocols to protect data during transmission and storage. However, no method of data transmission or electronic storage is entirely secure, and we cannot guarantee absolute security.
Legal Bases for Processing (for EEA Users)
If you are an individual in the European Economic Area (EEA), we collect and process information about you only where we have legal bases for doing so under applicable EU laws. The legal bases depend on the Services you use and how you use them. This means we collect and use your information only where:
- We need it to provide you the Services, including to operate the Services, provide customer support and personalized features, and protect the safety and security of the Services;
- It satisfies a legitimate interest (which is not overridden by your data protection interests), such as for research and development, marketing and promoting the Services, and protecting our legal rights and interests;
- You give us consent to do so for a specific purpose; or
- We need to process your data to comply with a legal obligation.

However, this will not affect any processing that has already occurred.
